MINUTES OF THE EXTRA SOCIETY BOARD MEETING
Meeting held at the Niagara Sports and Social Club on 3 August 2010 at 7pm

1. Apologies
Apologies were received from Diane Cockayne, John Gath, Peter Shaw.
2. Change to Conduct Document
The proposal to include a section on Communications between Board Members was agreed.
3. Financial and Governance Concerns
Following the announcement of the Petition from HMRC for the winding up of SWFC and the subsequent meeting between JG and PH for Wednesdayite and NP for SWFC, there are a number of concerns about the financial state and governance of the club.
The concerns were discussed at length and the pros and cons of several possible courses of action were considered.
It was eventually decided that the most appropriate action was to write to SWFC giving our concerns and questions and seeking a written response which we could then communicate to our members before considering any further action. It was unanimously agreed that a letter would be drafted, circulated to board members to seek approval by simple majority. When approved, the letter is to be hand delivered to NP at SWFC and a copy sent by email.
It was agreed that a further extra meeting will be held on 16 August at 7pm at the Niagara to discuss the response from SWFC and any further action.
Additional Note: This letter was drafted, approved and then hand delivered and emailed to NP on Tuesday 10 August.
The meeting closed at 9:45 pm
